Election overview

UKHA will be holding an election this year (dates to be confirmed). If you are a paid up UKHA Housekeeper Member and would like to put yourself forward, please contact your regional committee. Below are the roles and expectations of each committee position explained. There are 4 positions for each region and an additional 4 positions for London, because this region requires extra support.

 

Candidates for UKHA Regional Elections 2018

Chairperson

Responsible for leading and chairing regional & general meetings and all events

  • To oversee the arranging of all events and meetings in conjunction with the deputy chair
  • To organise meeting’s agenda
  • To consistently review the strategic planning of the association
  • To oversee all other committee roles
  • To set funding targets maximum capacity and cost per venue
  • To sign all expenditure contracts
  • Liaise with other Housekeeping Associations worldwide
  • To attend industry events in order to promote and network
  • To grow housekeeping membership in all sectors
  • To oversee the production of the monthly news letter
  • To instigate a bi annual regional vote
  • To approve accounts to be audited by our external auditor in preparation of the AGM.
  • To be available to respond to all members queries

Deputy Chairperson 

To work closely with the chair and assist where necessary

  • In absence of the chair to run meetings, events and deal with correspondence
  • To assist in the strategic planning of the association
  • To assist in increasing the membership
  • To assist in producing the monthly news letter
  • To work with all committee members in order to facilitate their roles
  • To be abreast of all social media
  • To be available to respond to members queries

Secretary

  • To assist the chair and deputy in setting the agenda for meetings
  • To take minutes of meeting and distribute within two weeks
  • Prepare and issue signing in sheets for each meeting
  • Prepare place cards for formal events
  • To deal with all paper work and processes in relation to membership and voting
  • To countersign all financial transactions
  • To liaise with the treasurer with all financial transactions related to membership
  • To assist in the strategic development of the association
  • To be available to respond to members queries

Treasurer

Responsible for managing funds, bank accounts and all expenditure

  • To log all expenditure and receipts
  • Record all cheques, bac’s transfers & petty cash on an excel spread sheet
  • To produce a P&L sheet for all events
  • To produce a master spread sheet incorporating all the above information
  • To record all unused stock
  • To monitor that all memberships, table bookings and sponsors are invoiced and paid
  • To ensure that all petty cash is counted, countersigned and banked
  • To ensure that all costs are managed in line with P&L account
  • To liaise with external accountant to produce all reports
  • To comply with policies as set by our external accountant
  • To be available to respond to members queries

Event Booking (London only)

  • To be responsible for taking bookings and payments for all events
  • To issue all invoices
  • To receive all payments and issue receipts
  • To advise banqueting of any dietary requirements
  • To produce a master spread sheet incorporating all the above information
  • To produce a table plan in conjunction with the chairperson
  • To finalise the seating plan in conjunction with the chairperson
  • To prepare alphabetical seating plans for displaying at venue
  • To prepare table seating plan for displaying at venue
  • To be available to respond to members queries

General Responsibilities (London only)

  • To attend a minimum of 10 housekeeping meetings per year
  • To attend a monthly committee meeting (1st Wednesday)
  • To assist with the welcome desk and meeting set up
  • To issue name badges and sign in attendees
  • To sell raffle tickets
  • To buddy new members
  • To assist the chairperson to increase membership of the association
  • To work closely with each committee member in all associated roles and responsibilities
  • To support and assist in all areas as required

Procurement Officer (London only)

  • To log and produce a list of all raffle prizes received at meetings
  • To receive and display the raffle prizes
  • To provide raffle books and money bags for all meetings
  • To purchase and source items as required per events
  • To purchase items in line with set budgets and P&L
  • To utilise current stock before purchasing more
  • To organise the Annual Christmas fayre
  • To conduct regular stock takes of current inventory
  • To be available to respond to members queries

Speakers, Sponsorship & Venues (London only)

  • To source speakers, venues & sponsorship for all events
  • To identify and allocate from the P&L sheet all that requires sponsorship
  • To work closely with chairperson in identifying allocated budgets
  • To liaise with the banqueting and housekeeping department to ensure the venue is adequately prepared for the event.
  • To visit and research venues where applicable.
  • To be available to respond to members queries
